Privacy Notice

Your notes stay on your Mac.
Learn what IceCue processes, why it requests permissions, and how you stay in control.

Updated: · Applies to IceCue, website and Mac App Store editions

01 · Local data

IceCue stores your saved notes, completion status and timestamps, tags, associated app names and bundle IDs on your Mac. When source linking is enabled, saved webpage titles, URLs and Finder folder paths are also stored locally. Product preferences, including appearance, window positions and work switching, stay on your Mac.

The website and Mac App Store editions share the same local notes, usage statistics and product preferences. Quit the running edition before opening the other. macOS continues to manage system permissions.

Unsubmitted new notes and unfinished edits stay in memory for the current session. They are written to the database only when you submit or save them.

IceCue does not upload this content to a server and does not provide accounts, advertising, telemetry or remote statistical analysis. Local storage does not mean additional encryption: databases and exported files are protected by macOS user file permissions and are not separately encrypted.

02 · Window and input permissions

IceCue uses system app activation notifications to identify the foreground app. Standard window following does not read window text, documents or screen images, and does not require Screen Recording permission.

  • Website edition: precise window following uses Accessibility permission to query window positions, dimensions and related focus and movement events. Side-by-side layout uses this permission to arrange other apps’ windows. Modifier-key gestures also use Accessibility authorization.
  • Mac App Store edition: window following uses publicly available system window positions and dimensions without Accessibility permission. Arranging other apps’ windows side by side is unavailable. Modifier-key gestures use Input Monitoring authorization.

Work-switching gestures only evaluate modifier-key states, timing and interruptions by other key presses or clicks. They do not read or save typed characters, retain key events or intercept input to other apps. Gesture monitoring stops when work switching is disabled or changed to a keyboard shortcut.

Work-switching keyboard shortcuts require neither Input Monitoring nor Accessibility permission. Basic notes do not require authorization for every optional feature. Enable only the features you need and manage or revoke permissions in macOS System Settings → Privacy & Security.

03 · Smart placement

Automatic placement and one-time placement

Continuous automatic placement is off by default. You can also run one-time placement manually. This does not enable continuous automatic placement or periodic browser checks.

Both modes require Screen Recording permission to analyze relevant areas or a low-resolution overview of the current work display and find a less obstructive position. Analysis considers the distribution of visual and text regions; it does not transcribe text.

Dynamic browser placement

Dynamic browser placement is off by default. When enabled, IceCue samples relevant areas of the display containing the selected foreground browser at your chosen interval and analyzes visual changes and obstruction locally. You can adjust the interval and detection sensitivity or disable the feature at any time.

Sampled areas may include other visible windows. Images, intermediate data and low-resolution comparison samples are processed only in local memory. They are not saved as files or uploaded, and no audio is captured. Automatic analysis pauses when the note is outside the current Space or the corresponding feature is disabled. A capture already in progress may finish at the system level, but its result will not be used.

04 · Source links

Browser and Finder source linking are off by default. You must enable them and grant the corresponding Automation permissions.

  • Browser: IceCue reads the current webpage title, HTTP/HTTPS URL and available window or tab identifiers to save a source and return to it. It does not read webpage body content or execute page JavaScript. Returning to a source may temporarily query open tab URLs in that browser to locate the page; browsing history and lists of other tabs are not retained.
  • Finder: IceCue reads the current actual folder path to save and reopen the location. It does not scan folder contents or record selected files.

Sources attached to unsubmitted notes stay in memory. When a note is saved, its source is written to the local database. Disabling source linking stops associations for new notes; previously saved sources remain. You can also revoke Automation authorization in macOS Privacy & Security settings.

05 · Usage statistics

App usage statistics are off by default. Recording begins only after you explicitly enable it during onboarding, in Settings or in the time manager.

When enabled, IceCue locally stores app names, bundle IDs, foreground time intervals and relationships between preceding and following apps. Statistics may include apps without notes. They do not record window text, typed characters, browser URLs or background runtime, and do not assess your work content or productivity.

You can pause statistics in the app’s settings. Existing history remains available. IceCue does not reconstruct time when it was not running or statistics were disabled. Statistics are not uploaded, synchronized or used for remote analysis.

06 · Export and deletion

  • Copying, dragging and exporting: these actions may include note text and source URLs or folder paths. Check the destination and safeguard your copies. Other apps handle the data once you send it to them.
  • Deleting notes: delete notes from All Entries. Soft-deleted notes remain in Recently Deleted and are not automatically erased permanently. The display period for completed notes only affects display and statistical scope; it does not delete historical records.
  • Removing local databases: open the data directory from Settings, quit all IceCue editions, then delete the corresponding notes and usage databases. Deleting shared data affects both the website and Mac App Store editions.
  • Backups and preferences: backups created before database upgrades and copies you exported must be deleted separately. Deleting databases does not clear separately stored product preferences. Old development-version directories are not automatically migrated or merged and, if present, must also be handled separately.

Data remains on your Mac until you delete or clear it. Disabling a feature, pausing statistics or uninstalling the app should not be treated as removal of all local data.

Notes are not automatically excluded from screenshots, screen recordings or screen sharing. Use Hide IceCue in the menu bar or its keyboard shortcut when you need to hide them.
